How it works

We start by listening.

No platform to sign up for and no contract off a website. Every system is built for one business, so it starts with how yours actually runs. Four steps, and you can stop after any of them.

01

Free

The walk-through.

We meet in person around London, Ontario, or by video call, and you walk us through your week: how customers reach you, how work gets booked, where the paperwork piles up. We mostly listen, and we write down what's eating your time in your own words.

  • In person or by video
  • No pitch on the first call
  • We ask who does your books, too

In writing

The plan.

You get a written plan: which jobs the agents take, what stays with you, which tools they connect to, how we'll know it's working, and a fixed quote. You know exactly what you're getting before anything is built.

  • A fixed quote, not an hourly meter
  • What we'll measure, agreed up front
  • Nothing starts until you say yes

On test accounts

Build and test.

We build around your rules and run everything on test accounts first. You try to break it: ask awkward questions, push on prices, test the edge cases. Nothing talks to a real customer until you say go.

  • Your prices and policies enforced in code
  • Tested on test accounts first
  • You approve before it goes live

Ongoing

We keep it running.

Once it's live, we watch it, fix it and tune it as your business changes. You get a morning summary and can read every conversation. Keeping it running is our job, not yours.

  • Monitored and maintained
  • Every conversation logged
  • Changed as your business changes

Rules live in code

Try to talk it out of your rules.

Most AI tools follow rules written in a prompt, and a prompt can be argued with. Ours keep your prices, limits and policies inside the tools themselves. The agent can ask. The code says no.

Your data

Handled properly.

Your customers trust you with their details. The systems we build are designed so that trust holds.

  • Least access

Each agent only gets the access its job needs, and nothing more.

  • Encrypted where it matters

Sensitive answers, like health questions, are encrypted. Agents see a flag, never the answer.

  • Everything logged

Every message and action is recorded, so you can see exactly what happened and why.

  • People approve the big stuff

Payments over your limits, new kinds of messages and anything unusual wait for a person.

Questions

The ones everyone asks.

Something we haven't covered? Ask us on a free call.

Is this just a chatbot?

No. A chatbot answers questions. These agents take actions through tools: they check your calendar, hold a time, take a payment, update a record and send you a summary. When something needs a person, they hand it to you with the whole conversation.

Will it work with the software we already use?

Usually. We connect to common tools like Google Workspace, Microsoft 365, QuickBooks, Square, Shopify and your phone and messaging apps. If something has no way in, we'll tell you at the walk-through.

Will it sound like us?

It learns from your own messages: how you greet people, how short you keep it, whether you use emoji. It says it's an assistant if anyone asks, and it never pretends to be a person.

What if it gets something wrong?

The things that matter most (prices, limits, hours, payments and your policies) are enforced in code, so the agent can't break them even when someone pushes. Anything unusual comes to a person, and every conversation is logged.

What about our customers' private information?

Sensitive answers are encrypted, each agent only gets the access it needs, and nothing outward-facing gets connected without your say-so.

What does it cost?

It depends on which jobs the agents take on. After the walk-through you get a fixed quote in writing, so you know the number before anything is built.

How long does it take?

It depends on the build. A single agent, like a front desk, is usually the quickest place to start. The written plan includes a timeline before any work begins.

Do we need to be good with tech?

No. This is built for businesses that would rather not think about software. You use it through things you already have: your phone, your email and a simple dashboard.

Are you part of Virtue25?

We're its sister company. Virtue25 Productions makes films and photos for businesses; Optimize25 builds the AI systems behind them. Same family, separate companies.
